Booking

All bookings must be confirmed in writing prior to the studio rental taking place. Confirmation is completed by submitting the online GAS Studios confirmation form. Only completed confirmation forms guarantee availability for the agreed booking period.

Options

First options do not guarantee availability until a confirmation form has been received. If a client holding a second option wishes to confirm, the client holding the first option will be notified and given a fair and reasonable amount of time to proceed.

Studio options are held for a maximum of two weeks. Any studio options not confirmed within 48 hours of the shoot date will be automatically released.

Cancellations

Confirmed bookings cancelled within 48 hours of the first or only scheduled shoot date will be charged at 100% of the studio hire rate, plus any costs already incurred.

Confirmed bookings cancelled more than 48 hours prior to the shoot date will be charged at 50% of the studio hire rate.

Rates and Charges

Studio hire rates are as outlined in the studio confirmation. All charges are subject to VAT at the prevailing rate.

Additional services including, but not limited to, equipment hire, catering, refreshments, damages, specialist cleaning, or additional staffing will be charged in addition to the studio hire rate.

Overtime

Standard studio hours are 9:00am to 6:00pm. Overtime charges apply if the studio is occupied by any member of the crew outside these hours. Overtime is charged per hour at the agreed rate.

Payment Terms

Full payment (100%) of studio hire fees is required prior to the shoot date.

All additional charges are payable on NET 30 terms. GAS Production Hire reserves the right to charge statutory interest in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

Any invoice queries must be raised within seven working days of the invoice date.

Damages

The hirer, and any persons attending the studio in association with the hirer, must leave the studio and all communal areas in the condition they were found, allowing for reasonable wear and tear.

The hirer is responsible for any damage to the studio building, fixtures, fittings, furniture, or equipment. Charges will reflect the full cost of repair or replacement where necessary.

General cleaning is included in the studio hire. Specialist cleaning, repainting, or excessive cleaning requirements will incur additional charges.

Waste

Standard waste disposal is included using the bins provided within the hired area. Any additional waste removal must be agreed in advance and will incur additional charges, payable prior to the visit.

Any waste left beyond the agreed terms will result in additional fees.

Lighting & Equipment Hire

Equipment lists must be confirmed by 12:00 noon on the day prior to the shoot. Shorter notice periods may result in limited availability or delayed delivery.

Hirers may bring their own equipment; however, all rental lighting and equipment must be supplied through GAS Production Hire unless prior written permission has been granted. Third-party rental companies are not permitted without approval. Failure to comply may result in additional charges.

Personal Property and Equipment

GAS Studios accepts no responsibility for loss or damage to the hirer’s equipment or personal property. Any items brought onto the premises are done so at the hirer’s own risk.

Items left on the premises are not covered by any insurance held by GAS Studios.

Deliveries and Collections

Deliveries and collections of the hirer’s equipment, props or materials can be accepted between 9:00am and 6:00pm, up to 24 hours before or after the shoot date.

Items left outside of this period may incur storage charges. All deliveries must be clearly labelled, with completed courier sheets attached.

Parking

Up to two parking spaces per studio may be available and must be booked in advance. Vehicles are parked at the owner’s risk. GAS Production Hire accepts no liability for loss, damage or theft.

Parking at Studios A, B and C is permit-based. Any fines incurred due to failure to display permits are the responsibility of the vehicle owner.

Catering and Refreshments

All catering and food service at GAS Studios is supplied exclusively by Rida Kitchen and must be ordered in advance.

External catering is not permitted without prior written approval. Any approved external catering may be subject to a corkage or service fee.

Studio refreshments and barista coffee are available and charged based on usage.

Equipment

All equipment hired from GAS must be packed down and returned to its original condition at the end of the shoot. Any equipment left for studio staff to pack down will incur additional charges.

Insurance and Liability

Use of GAS Studios and all associated equipment is entirely at the hirer’s own risk.

GAS Production Hire Ltd accepts no liability for injury, loss, damage or consequential loss suffered by the hirer, their personnel or property while using the premises.

GAS Production Hire Ltd cannot be held responsible for loss or damage resulting from circumstances beyond its reasonable control, including but not limited to power failure, fire, flood, extreme weather, acts of God, war, civil disturbance, or industrial action.
